Terms and Conditions

Thank you for choosing to book with us: we are very much looking forward to welcoming you at Pommerie and we hope you enjoy your stay. Pommerie is the trading name of Old Manor Lodge Shepherd Huts Limited (registered in England and Wales with company number 15639324). Pommerie is the controller of your personal data. Please read our Privacy & Cookie Policy to understand how we process your personal data. Within these Terms & Conditions, “you”, “your” and “yours” have reference to the first named person on a booking (the Booking Party) and all persons on whose behalf the booking is made.

Booking confirmation 

For all room bookings, a non-refundable payment representing one night's stay is required by credit or debit card to secure the booking. The total amount of the stay is due unless your booking is cancelled with a minimum of 96 hours’ notice. All cancellations and/or any changes to your reservation must be confirmed in writing. 

 

Your room rate will be confirmed at time of booking, and we cannot change the rate or terms once the booking has been confirmed. We will forward written confirmation of your booking by post or e-mail, which you should check and advise us immediately if any details are incorrect. If, due to circumstances beyond our control, we are forced to cancel your stay, we will refund your deposit in full, however, we cannot be held responsible for any costs incurred by you as a result. Discounted rates and special offers are subject to availability. 

 

Occasionally it may be necessary to amend prices, facilities or services. Our rates will be inclusive of the relevant amount of VAT as applicable at the time of your visit. We recommend taking out travel insurance to cover the event of a cancellation.

 

We do not collect or store any credit card information through our website. All booking transactions are securely processed via Room Raccoon/Stripe, a third-party payment gateway entrusted with the protection of all cardholder data. For further information regarding Stripe’s licensing, privacy practices, cookie policy, or other details, please visit https://stripe.com/gb.

 

Please be advised that the quoted accommodation rate excludes any incidental charges incurred during a stay. All such charges must be settled prior to departure. In the event they remain unpaid, they will be automatically charged to the payment method provided at the time of booking.

 

We do not accept cash. All payments are taken by credit/debit cards or bank transfer.

 

Arrival and Departure

Your accommodation will be available to you from 3.00pm on the day of arrival. Check out time is 10am on the day of your departure. These timings are so we can air the huts and clean them thoroughly. On departure your hut and the site are to be left clean and tidy. Keys must be handed back to us or left as arranged on your arrival. All rubbish/recycling is to be tidied responsibly. Please check you haven't left anything. Thank you!

 

Breakages and Damage

A degree of normal wear and tear is to be expected but should any significant damage or breakage happen during your stay you will be held responsible and liable to a charge equal to the lowest current market value. We reserve the right to charge for excessive cleaning where the hut has been left in an unacceptable condition.

Interiors

We are very happy for our guests to make use of all facilities within the huts and that includes the books. Should you leave with a book however, you are requested to return it within one week of your stay, after which time you will be charged £5 per book. Similarly, we prefer that our toiletries are not shackled by awkward brackets, but if toiletries are removed from the hut, they will be charged at £18 per bottle as will need to replace them for the next guest. Paintings, blankets, crystals and other interior items are available to purchase should you wish, please just speak to us before you leave.

 

Liability

We accept no responsibility for injury incurred anywhere on the site or in the hut. Walking throughout the site, including in the woodland and use of the spa is at your own risk and we hold no responsibility for injury or illness.

 

Please note the following about our watercourse:

Swimming and paddling are prohibited.

The stream is naturally fed and untreated; as such, they contain plant and insect life and possibly unknown chemicals which may cause irritation, allergic reaction or other issues.

 

The sauna, cold plunge and woodburning hot tub at the Wild Spa, and huts at which wood-burning hot tubs are provided, are used at the guests’ own risk. Hot tub rules state that the tub is not to be used by anyone under the age of 18. For hygiene and safety reasons, the consumption of alcoholic beverages in the hot tub and sauna must be moderate. Guests who are under the influence of excessive alcohol are to refrain from entering the hot tub or sauna. Food is strictly prohibited in the hot tub area and Wild Spa. Guests should check the water temperature before each use; the hot tub must not be used if the temperature exceeds 40°C.

 

 

Use of facilities

We are located amongst several working farms. To ensure the welfare of the livestock and the maintenance of the land, vehicles and machinery are regularly in use, and certain areas may have restricted access. 

 

Pommerie is open for the exclusive use of its registered guests. Day entry for family, friends and colleagues is not possible unless prior approval is received.

 

 

Negligence

Guests will be held responsible for any fire, damage or alteration to the huts or other parts of the site caused by negligence. Tea lights and unenclosed candles are strictly forbidden inside or outside the huts, please use glass lanterns provided. Please do not leave anything on or rested against the wood burners.

 

Stolen Property

You are responsible for your property including your car whilst you are staying at Pommerie and we do not accept any responsible for your personal effects.

 

Lost and Left Property

The return of items left can be organised at the full cost to the owner. Lost property will be kept for four weeks once it has been handed in. After this period items will be sent to a charity event of our choosing.

 

Smoking

Pommerie is subject to strict no smoking policy inside the huts and pollution or damage from smoking will result in a charge to ensure the hut is returned to a satisfactory standard. Smoking in the designated area by the car park is permitted but guests are responsible for the safe and tidy disposal of their cigarette butts, please don’t litter the surrounding area.

 

Children and Dogs

Given Pommerie is a quiet space of rest and relaxation and for the benefit of our other guests, unfortunately we cannot accommodate children or dogs (including babes in arms).

 

Code of Conduct

Pommerie is designed to be a place of rest and relaxation, and we ask our guests to be mindful of others when moving around the site. Often there are classes taking place in the studio, and the floatation tank is in use daily from 8am – 10am and 5pm – 6.30pm. No audio players are permitted outside of the accommodation. Guests agree to not act in any way which would cause disturbance to other guests or nearby residents. In exceptional circumstances we reserve the right to ask a party to leave if there is repeated noise and a request to keep things tranquil is ignored. This would mean the terms of our contract with you has been breech so there will be no refund.

 

Prohibited Items Policy

For the safety and comfort of all guests, staff, and resident livestock and wildlife, the following items are strictly prohibited within the boundaries of Pommerie:

Any items that are, or appear to be, illegal

Weapons of any kind

Ammunition or explosives

Fireworks

Any other items which, in our reasonable opinion, may pose a danger or cause disruption

 

Guests found in possession of the above prohibited items may be asked to leave the premises and, where appropriate, the relevant authorities will be notified.

 

Events

On occasion, events are held at Pommerie, these might include big feasts, wine tastings or day retreats. From time to time, this may result in some public areas becoming temporarily unavailable between the hours of 10am and 4pm. We will notify you in advance of this being the case so you can amend your booking if you wish.

 

External Night-time Lighting

We are located adjacent to an Area of Outstanding Natural Beauty and in accordance with local environmental regulations, the use of mains-powered external lighting is not permitted. You are therefore kindly requested to use the portable lamps provided in you room when moving around the site during the hours of darkness. If additional lighting is required, please contact us. 

 

For your safety, we respectfully ask you to avoid venturing into the woodland during night-time hours without adequate lighting.

 

Photography and Copyright

Nothing contained on the Pommerie website shall be considered as granting any licence or as a given right to use our trademark. This also applies to any third-party intellectual property displayed on its website. Any usage will require prior written permission.

 

Commercial photography, drone filming and filming (including the photographing and filming of private functions for commercial purposes) are not permitted on the site without prior consent.

 

The images posted on the Pommerie website are for illustrative purposes only and may not be representative of facilities, conditions, offerings, etc. current at the time of your stay.

 

Customer Complaints

In the first instance of a complaint please speak to us directly either in person or call us on 01297 255679 so we can resolve your problem. If you are unable to do so or wish to do so once you leave please address any correspondence regarding complaints to Janey de Borchgrave d’Altena, Old Manor Lodge, Lodge Lane, Axminster EX13 5RT or email janey@pommerie.co.uk. Please note, complaints received after 14 days from the end of your stay cannot be reliably investigated.

The Sauna

Bookings & Payments
All sessions are booked online through our booking system.
Payment is taken at the time of booking.
You’ll receive a confirmation email once your session is secured.

 

Cancellations & Rescheduling
You can cancel or reschedule your appointment up to 24 hours before your session for
a full refund.
Cancellations with less than 24 hours’ notice, or no-shows, are non-refundable.
If we ever need to reschedule for operational reasons, we’ll contact you straight away
and offer a new time or a full refund.

 

Health & Safety
Before your first visit, you’ll need to complete our health & safety release form.
Please let us know about any medical conditions, allergies or anything that might affect
your session.
Sauna use may not be suitable if you have:
- If you're pregnant
- If you've had a heart attack or stroke
- If you're taking any medications
- If you have cardiovascular conditions, or problems
- You have epilepsy
- You have asthma or breathing conditions
- High or low blood pressure
- If you have arterial disease
- If you have joint or muscle injury

By booking a session, you're confirming that you, and everyone in your group, has
considered this advice and all those detailed in our T&Cs.
The sauna is extremely hot. Do not touch it, other than as instructed to pour water onto
the stones.
Please bring drinking water and stay hydrated throughout your session.
Children are not permitted.
We reserve the right to refuse entry to anyone who appears intoxicated, or deemed a
risk to health and safety. Refunds will not be offered in this circumstance.
If we feel it’s not safe for you to continue, we may need to pause or refuse the session.

 

Weather
We reserve the right to cancel bookings at any time due to unsuitable weather
conditions. We will contact you to rearrange your booking. Your safety is our first
concern.


Accessibility
We regret that due to the nature of our business there are some areas where
accessibility may need to be considered. Please be aware that access to the sauna is
across a gravelled area and there are some steps to negiotate to access the sauna. If
you would like to discuss this prior to your visit please get in touch.

 

Arriving for Your Session

Please arrive 5 minutes early so you can relax and settle in.
If you’re late, your session may be shortened to avoid impacting the next guest.
If you’re more than 15 minutes late, it may need to be marked as a missed
appointment.


Using Our Space & Equipment
To protect our equipment and to give you the best possible experience, please shower
before and after your session.
Please enter and exit the sauna with care. 
Please remove your shoes before entering. 
Be aware that the stove reaches extremely high temperatures and should be treated
with respect. Do not touch any part of it, and only pour the provided water onto the rocks
as instructed by a member of staff.
Alcohol and smoking are not allowed in the sauna.
Please do not use essential oils in the sauna without permission.
The use of essential oils provided by or bought as an add on to your session are used at
your own risk.
Anyone using the cold plunge does so at their own risk.
Jewellery (or any metal) should be removed before entering the sauna, to prevent
burning.
There are large steps to enter the pitch and the sauna itself, we regret that they may not
be suitable for everyone.
Please follow any guidance from staff to ensure safe use of equipment.
Any damage caused by misuse may result in a charge.
We follow strict hygiene and operational standards at all times.

 

Liability & Waiver
Waiver: Releases and waives any claims, demands, actions, liability or causes of action
against Old Manor Lodge Shepherd Huts Ltd T/A Pommerie, its owners, employees,
and agents, arising out of or related to the use of the sauna facilities. I understand that
Pommerie is not responsible for any injuries or health issues that may occur during or
after floatation therapy use.


Personal Property
We are not responsible for any loss, theft, or damage to personal property brought into
the facility.


Respectful Behaviour
Pommerie is a calm, restorative space.
We may ask someone to leave (without refund) if they behave in a way that is unsafe,
disrespectful or disruptive to others.


Personal Belongings
We’ll always do our best to keep your things safe, but personal belongings are left at
your own risk.


Privacy
We take your privacy seriously. Your information is stored securely and used only for
bookings, communication and safety - in line with UK data protection laws.

 

Updates to Our Terms
We may update these Terms occasionally.

- First-trimester pregnancy
- Open wounds or active skin conditions
- Contagious illnesses
- Uncontrolled medical conditions
- Allergies to Epsom salts or hydrogen peroxide

If we feel it’s not safe for you to continue, we may need to pause or refuse the session.

Please follow any guidance from staff to ensure safe use of equipment.
Any damage caused by misuse may result in a charge.
We follow strict hygiene and operational standards at all times.

or after floatation therapy use.
